External individuals and entities who wish to film on an Indiana University campus must first submit their project to the university filming committee for prior approval.* Such approval may also be required for IU employees, students, and staff when the film project is unrelated to the individual’s affiliation with IU and/or outside their regular scope of IU duties. Filming on any Indiana University campus is overseen by the university filming committee which includes representatives from communications and marketing, licensing and trademarks, general counsel, and the office of insurance, loss control and claims.
* External individuals and entities who are engaged as a contractor via IU Purchasing to film on an Indiana University campus do not need the approval of the university filming committee.
The word “filming” used in these guidelines includes motion pictures, videotape, audio recordings, still photography and digital imaging.
The committee requires a minimum of 30 days' notice prior to the proposed start date of the film project.
The committee requires a minimum of 10 business days to review and approve or deny your request. We reserve the right to extend the review window as necessary.

Required information for committee review
- Content: Please provide a final script of your project and an outline covering the general content or theme of this project and how the images and other content captured at IU will be used. The script should be presented in English to ensure that the committee is not mistranslating its content.
- Production agreement: Download and fill out this sample production agreement.
- Licensing and trademarks: Please describe how IU branding elements or campus locations will be featured or referenced in the published project. Reference the Licensing and Trademark Policy regarding use of branding elements and marks. Indiana University trademarks or branding elements may not be used in any manner that suggests or implies Indiana University’s endorsement of another organization, company, product, service, political party or view, or religious belief or view.
- Proof of insurance: Please provide a Certificate of Insurance proving general liability in the amount of $1 Million with The Trustees of Indiana University listed as additional insured as well as proof of workers compensation.
Please note that once these fundamental requirements are satisfied, it’s likely that additional university departments, facilities and leadership may need to be notified to gain approval regarding timing, permissions and availability of university assets.
